Every month we bring new updates that help make managing your fleet easier. The latest enhancements to our digital fleet solutions are designed to give fleet managers quicker access to critical information, more visibility across vehicles, and smarter tools that reduce daily friction. From more efficient fleet maintenance and service to centralized control of your fleet operations, these updates help fleet managers spend less time waiting and more time doing.

Less time in dashboards, more time running your fleet; Ford Pro AI expands to more markets.
On average, fleet managers spend over 23 hours a week309 juggling routine tasks — from scheduling service to managing drivers and tracking costs. That's more than half a workweek before the real work begins.
Now, Ford Pro AI is bringing relief to even more fleets. Following its U.S. launch, the intelligent fleet assistant is now available to Ford Pro Telematics Software1669 subscribers in Europe and Canada — taking the millions of data points fleet vehicles generate, from seatbelt clicks to vehicle health signals, and turning them into insights managers can actually act on.
And new to Ford Pro AI are one-click table exports and instant text copying. When customers use Ford Pro AI, they can now export individual data tables directly to CSV with a single click and instantly copy full chat responses from Ford Pro AI – helping save time, share information more easily, and put insights to work faster.
Manage your fleet with the mapping experience you already know and trust.
Tracking vehicles across a fleet with a familiar map experience and real-time detail.
Google Maps is now integrated directly into Ford Pro Telematics Software, layering the telematics from your fleet vehicles into the world's most recognized mapping experience.
Fleet managers and dispatchers can now benefit from Street View, live traffic layers, and visible driver names on the map. Accurate "snap to road" trip lines improve speeding detection, while simplified Circle Geofence creation and editing keep historical data intact.

Locate vehicles and deter theft faster, right from Ford Pro Telematics Software.
Responding to vehicle theft or locating a missing asset shouldn't mean jumping between platforms.
With Remote Vehicle Alarm Integration, alarm and horn controls are built directly into the Vehicles page in Ford Pro Telematics Software.
This lets fleet managers quickly locate vehicles and help deter theft, without ever leaving the platform they're already using.
Faster access to critical footage, with privacy controls built in.
When an incident happens, every minute matters. But until now, accessing dashcam footage stored on SD cards often meant waiting on a support request before teams could take action.
Now, with Dashcam Encryption Controls, fleet managers can control SD card encryption settings directly at the fleet level, making it easier to access footage when needed while maintaining strong privacy protections. Footage remains encrypted by default, and administrators can see when settings were changed and by whom, providing greater transparency and accountability.
One place for every dashcam setting.
Managing dashcam configurations just got simpler. Instead of navigating multiple menus, fleet managers can now find all dashcam-related settings in a single dedicated location.
The new Dashcam settings tab brings together key controls, including AI event triggers for distracted driving, phone usage, smoking detection, camera obstruction, and SD card encryption settings. Existing preferences migrate automatically, giving fleets a more streamlined experience with no downtime or disruption.
Manage your shared vehicle pool the way your organization actually operates.
Managing a shared vehicle pool across different departments, campuses, or agencies shouldn't mean juggling a messy web of emails, paper forms, and calendars. When reservation workflows are scattered across disconnected systems, fleet administrators lose time chasing approvals while drivers struggle to find and book the right vehicle when they need it.
With the new Motor Pool, these scattered workflows come together in one manageable, digital location, giving administrators and drivers a shared source of truth for vehicle availability and usage.
Approved drivers with operator status can request specific vehicle groups and types in seconds, while custom approval rules keep reservations moving without constant manual intervention. Custom Fields capture department codes, project IDs, or other org-specific data, and updated meters, rates, and fees to generate itemized receipts and automated reports for accurate internal chargebacks.
Fewer roadblocks to maintenance.
We’ve rolled out several software enhancements to help you stay on top of maintenance needs with ease.
- Connect your vehicles, vendors, and shops in one view
Making fast maintenance and routing decisions shouldn't mean piecing together data from multiple sources. When fleet managers lack a unified view of vehicles, vendors, and shops, delays and inefficiencies follow.
With the new Fleet Map, subscribers get a comprehensive operational view of assets, vendors, and shops through combined telematics and data to help make faster maintenance and routing decisions.
- Simplified repair orders
We also eliminated the need to jump between systems to get repairs approved. Previously, fleet managers using the Maintenance Shop Network had to log into Auto Integrate to review and approve repair orders. Now, it all happens directly within the Fleet Management Software.
Subscribers can set up email alerts for when repair orders are submitted, giving fleet managers a more robust view of all aspects of their account without consulting multiple databases.
Ford Pro is also bringing automation and simplicity to a previously manual process — with the ability to auto-approve orders under a dollar threshold and approve an entire order with a single button.
- Integrated Card Payments for Maintenance Shop Network
Additionally, U.S. Ford Pro subscribers no longer need to open a line of credit to use the Maintenance Shop Network. They can now use credit, debit, or Coast Fuel Cards to pay for services through the Maintenance Shop Network inside Fleet Management Software.
Subscribers can get set up with the Maintenance Shop Network faster and benefit from Maintenance Management sooner, putting more control back in their hands.
- Inspection forms now directly connected to service tasks
Inspection forms can now be created with sections to include the part, quantity, and part location. When a fleet manager completes the inspection form, inventory is automatically adjusted to reflect the parts used.
And the service process is simplified by connecting inspection forms directly to service tasks. Whether it's a standard or custom service task, a single inspection form can be selected from the Inspections drop-down menu.
This creates a direct connection path for an inspection to be completed from a Work Order, removing multiple clicks and ensuring all the needed information is captured.
Additionally, Work Orders now include a dedicated section for technicians and maintenance teams to capture complaints, causes, and corrections — the three categories widely needed to get service and repairs covered by existing warranties.
With complaints, causes, and corrections included when the work order is submitted, the speed and accuracy of warranty submissions improve, eliminating reliance on disconnected information.
Turn a year of driver data into smarter coaching.
Building custom analytics and safety programs shouldn't mean working around information gaps. When driver behavior data lives in a separate system, fleet managers lose time piecing together insights instead of acting on them.
With the Driver Behavior API in Ford Pro Telematics Software, fleet managers can now seamlessly integrate up to a year of historical driver behavior data directly into their internal systems.
And with User Support Labelling available now, fleet managers get clear "Recommended" and "Max Coaching" toggles that show exactly how IVC settings affect driver behavior scores.
And fleet managers now have more control over how speeding events are defined and recorded in Ford Pro Telematics Software. Custom Speeding Duration Thresholds allow fleets to set exact time buffers before a speeding event is triggered, helping to filter out brief overtakes and better align reporting with each fleet's safety policies.
This all comes together to give fleet managers the flexibility to power custom analytics, deliver more targeted safety coaching, and provide a fairer, more consistent approach to driver coaching that reflects real-world driving behavior to help produce consistent, trustworthy scorecards every time.
Flexible privacy scheduling that fits real-world routines.
Balancing driver privacy with fleet compliance shouldn't mean a one-size-fits-all approach.
With the Privacy Scheduling Multiple Rules Enhancement, now live, fleet managers can set multiple privacy rules and time blocks per vehicle — and choose time zones that fit how their drivers actually operate.
This gives fleet managers greater flexibility to protect driver privacy while staying compliant, without compromising either.
These updates from Ford Pro bring fleet managers faster insights, simpler workflows, efficient maintenance tasks, and greater confidence in daily decisions.
