How We Collect Personal Information
In accordance with applicable law, we may collect your Personal Information (as identified above) from the following sources (whether we collected information from a specific source depends on the nature of your interaction with us):
- Directly from you. We may collect Personal Information from you when you provide it to us, including but not limited to: your application for a commercial line of credit; use of the vehicle integration system (which may include telematics systems such as Ford Pro Marketplace, cloud connectivity, mobile app integration, over-the-air updates, and communication between vehicle and telematics systems); use of charging depots or charging solutions; interactions with the Website and the Services; requests for demonstrations of the Services; enabling the virtual assistant feature on your mobile phone; or providing information in response to a survey.
- Dealers, Distributors, and Repairers. We may collect Personal Information in connection with Ford Pro fleet vehicle and parts sales and service. For example, when you purchase or lease a vehicle from a Ford or Lincoln dealer, the dealer provides contact information to Ford Pro, including your name and address, as well as vehicle identification number (VIN) and purchase information such as purchase date. When you service or repair your Ford Pro vehicle with a Ford or Lincoln dealer, we receive contact information and vehicle service information (and certain other vehicle repair information), which includes history of repairs and may include information such as visit details, service details, repair history, applicable recall repairs, repair order details and payment, and warranty and extended service plan information. We may receive vehicle diagnostic information from dealers or other repairers when your vehicle is serviced or repaired using diagnostic scan tools connected to your fleet vehicles.
- Charging Depots, Stations and At-Home Solutions. We may collect Personal Information in connection with your use of charging depots, stations, and even at-home charging depots and solutions.
- Created by us. We create Personal Information about you, such as credentials for access to the Services; fleet identification numbers; loyalty rewards program information; and inferences generated about mileage to provide you with commercial lines of credit, charging solutions, and other services; and inferences generated from driving behavior to identity potential vehicle repairs and maintenance requirements.
- Third Parties and Service Providers. We may collect Personal Information about you from third parties, including agents, vendors, consultants, and service providers. These parties may act on our behalf to help manage or operate our business, or may provide data to help us deliver goods and services, improve our records, personalize advertising, and suggest services that may be of interest to you. We may combine this information with data collected through other means described in this Notice to better serve you and improve our offerings.
- Our Family Companies. We collect Personal Information from companies within the Ford Motor Company family of companies. Our “family of companies” is the group of companies related to us by common control or ownership. We receive such Personal Information as permitted in order to help us manage our business and workforce.
- Law enforcement agencies, courts, regulatory agencies, and other government agencies. We may receive Personal Information from government agencies to comply with the law, to protect your personal safety or the safety of others, to protect our or others’ rights, or to investigate fraudulent or illegal activity, or any activity that violates or may violate applicable laws, regulations, legal processes, or our policies.
- Your account administrator. If you access the Services through an entity with whom we do business, we may receive Personal Information about you from that entity’s account administrator. Please refer to the privacy notice of that entity for information about how they handle your Personal Information.
- Parties to corporate transactions. As permitted by law, we may receive Personal Information as part of a corporate transaction or proceeding such as a merger, financing, acquisition, bankruptcy, dissolution, or transfer, divestiture, or sale of all or a portion of a business or assets.
- Public sources. We may also collect Personal Information available on public company registers about you or other public sources associated with your business.
- Automatically when using the Website and the Services. We automatically collect certain internet or other electronic network activity Information (as more fully described in the section titled Personal Information We Collect above) about you when you access or use the Website, the Services or interact with Ford Pro advertisements or emails (“Usage Information”). Usage information collected as part of the Services may also include Connected Vehicle Information (as described in the section titled Personal Information We Collect above). As indicated above, the Connected Vehicle Information collected varies based on the equipment installed in your fleet of vehicles. The methods we use to collect usage information include:
- Location-identifying Technologies. We use GPS software, geo-filtering, original equipment manufacturer (“OEM”) telematics embedded hardware, and cloud platform software for data collection and data management, and other location-aware technologies to locate users (sometimes precisely), or make assumptions about user locations, for purposes such as verifying a user location and delivering the Services described above. If you have enabled GPS or other location-based features through the Website and the Services, user device location may be collected by Ford Pro, our service providers, and third parties, like Google, in order to provide the Services to you.
- Telematics Data. We collect and use various types of Connected Vehicle Information to provide connected features and services, troubleshoot issues, improve our products, conduct research and development, and offer tailored products and services.
- Log Files. Log information is data about an individual’s use of the Website or the Services, such as IP address, browser type, internet service provider, referring/exit pages, operating system, date/time stamps, and related data, which may be collected and stored in log files.
- Cookies and Tracking Technologies. The Website and the Services use cookies, pixels, web beacons, tags, trackers, and similar digital technologies (“Tracking Technologies”) to operate the Website and the Services and to help collect data.
- Cookies are small text files placed on your device to store data that can be recalled by a web server in the same domain that placed the cookie. The text in a cookie often consists of a string of numbers and letters that uniquely identifies your device, but it can contain other information as well. The Website or the Services may also contain electronic images known as web beacons (also called single-pixel gifs) that we use to help deliver cookies on the Website or Services, count users who have visited the Website or the Services and gather usage and performance data.
- Tracking Technologies on the Website or the Services are used to store your preferences and settings, help authenticate your Ford account and enable you to sign in, provide interest-based advertising, combat fraud, analyze how the Website or the Services perform, personalize your experience and the content you see on the Website or Services (such as by conveniently auto-filling data fields in online forms), and fulfill other legitimate purposes.
- We also include Tracking Technologies in our promotional email messages or newsletters to perform analytics, including to determine whether you open and act on them, and in our ads appearing on other sites to measure the performance of those ads.
- The Website or the Services often include Tracking Technologies from third-party vendors, consultants, affiliates, and other service providers. In some cases, that is because we have hired a third party to provide services on our behalf, such as site analytics or advertising. In other cases, it is because our webpages contain third-party content (such as embedded videos, maps, plug-ins, or ads) that contain digital technologies used to track operability and performance of the content, as well as your interaction with the content to determine its effectiveness. When your browser connects to a third party’s web server to retrieve content and/or Tracking Technologies, that third party is able to set or read its own Tracking Technologies on your device and may collect information about your online activities over time and across different websites or online services that also contain that third party’s content or Tracking Technologies. For example, the Website or the Services use third-party tools (such as Amplitude, Dynatrace, Google, and Mouseflow), to support the operation and performance of the Website or the Services and to analyze your interactions and experiences with the Website or the Services, including the features you engage with, how you navigate, and your click/touch, movement, scroll, and keystroke activity.
- You can find more information on Amplitude’s privacy practices here.
- You can find more information on Dynatrace’s privacy practices here and how to opt out here.
- You can find out how Google Analytics uses data here and how to opt out of Google Analytics here. For more information on how Google uses data when you use our websites, click here.
- You can also find more information on Mouseflow’s privacy practices here and how to opt out here.
- For more information about the privacy practices of the other third-party Tracking Technologies, please review their privacy policies.
- Device and Activity Monitoring. We use technologies that monitor, and may record, certain user interactions with the Website or the Services, and/or collect and analyze information from vehicles and user devices, such as, without limitation, the operating system, plug-ins, system fonts, and other data, for purposes such as identification, security, fraud prevention, troubleshooting, tracking, and/or improving the Website and customizing or optimizing user experience on the Website.
- Interactive Features. Ford Pro may engage vendors, such as Salesforce, to provide certain interactive features on the Website or the Services. Your use of these interactive features is voluntary, and we may retain the information that you submit through these features. For example, we may offer an interactive chat feature for customer service, transactional, and other informational purposes. When you participate in interactive chat, either with a virtual or live agent, the contents of the chat may be captured and kept as a transcript. By using these features, you understand that our vendors may process the information you submit to provide the service on our behalf. By using an interactive chat feature, you may be interacting with a Generative AI platform and not a live person. Unless otherwise provided for as part of the Services, do not provide confidential or proprietary information when using an interactive chat feature. Information, decisions, or advice provided by an interactive chat feature, or any materials retrieved therefrom, including those to any third party, may not have been reviewed for content or accuracy. Note also that some technologies used on our Website allow us and our service providers to monitor and analyze how visitors use the Website to better understand user behavior and improve the Services. When you interact with us online, information related to your behavior may be collected by us and our service providers.
We may combine Personal Information we obtain about you from one source with Personal Information we obtain through other means described above.
How We Use the Personal Information We Collect
The Personal Information we obtain about you may be used for the following purposes:
- Onboarding. We may use your Personal Information to onboard and enroll you in the Services.
- Conduct Business. We may use your Personal Information to conduct business with you, such as processing transactions and orders; provide customer support and technical support (including vehicle service, warranty and recall); troubleshooting issues with your fleet vehicles or the Services; providing credit and financing services; enabling vehicle configuration on the vehicle integration system; supporting you in managing and maintaining your fleet vehicles and fleet operations, including enabling accurate validation and reimbursement to your employees who charge assigned fleet vehicles at their residences; or provide a demonstration of the Services; and generate Website analytics to improve our platforms and systems.
- Operate, Maintain, and Improve your Ford Pro Vehicle and Parts, the Website and the Services. We may use your Personal Information to understand how you use the Services; customize or personalize your experience; monitor and analyze your trends, usage, and activities with the Services; compile user data, including with data about users that we collect through other sources and may be used for marketing and other purposes where legally permitted; deliver promotional content; improve the Services; develop new products, services, and marketing; provide technical support and troubleshoot; offer customer assistance; and safeguard the Services. We may also use Connected Vehicle Information to operate, maintain, enhance, optimize and improve existing or new vehicles and parts, products, features, and services, including the Services as well as evaluate the quality of and improve our existing products, services, processes, and technologies, including investigating, verifying, or maintaining the quality or safety of a Ford Pro fleet vehicle, service, product, or technology; updating our products and services; evaluating the quality of the products and services that our suppliers provide to us or on our behalf; and troubleshooting and debugging activities to identify and repair technical errors that impair existing or intended functionality. We may use driving behavior data to predict the maintenance needs of your fleet of vehicles. For example, if we detect frequent hard braking, we might suggest a tire inspection or replacement. These insights may be shared with you to help you stay informed about your fleet vehicles’ condition and any recommended services.
- Provide the Services. We may use Personal Information to provide you the Services, including fleet purchasing and leasing services, commercial lines of credit, fleet management services, fleet administration services, Ford Drive app, insurance services, telematics services, loyalty rewards services, and vehicle upgrade transactions.
- Communication. We may use your Personal Information to communicate with you, including responding to user comments, website chats, questions, and requests; providing customer support; and sending users updates and administrative messages (if an opt-out is available, users will find that option within the communication itself or in the account settings). This may include providing you with a demonstration of the Services and offering location-based customer assistance. When you engage with our virtual assistant or contact us for help, we may collect and use photos and video footage—with your permission—to assist in troubleshooting and resolving issues. We may also use Personal Information to provide you with incentives, loyalty rewards programs, or other products and services. Communication may involve automated processing in support of these interactions.
- Access Management. We may use your Personal Information to manage your access rights to the Services and the physical location of our premises, such as by providing you with login credentials to the Services, badges to enter buildings, radio frequency identification (RFID) cards to authenticate drivers at charging points, and otherwise manage our physical, online, and corporate information.
- Legal Obligations and Security. We may process your Personal Information to fulfill our legal obligations, including reporting and tax documentation; prevent, investigate, identify, or take any other action regarding suspected or actual fraudulent or illegal activity, or any activity that violates or may violate applicable laws, regulations, legal processes, or our policies. We may use, screen, and share your Personal Information as part of our due diligence procedures; to assist in verifying your identity; to facilitate and manage our relationship with you; to protect our or others’ interests; and to comply with Office of Foreign Asset Control (OFAC) or other prohibited or denied party lists and international governmental or regulatory requirements concerning, among other things, money laundering, asset control, and anti-terrorism. Ford will not make any solely automated decisions which significantly affect you. As a result of our watchlist screening process, we may from time to time request additional or specific identification or documents from you regarding you or your business. We may process your Personal Information to comply with applicable laws, regulations, or legal processes as well as industry standards and our company policies. Additionally, we may process your Personal Information to meet our contractual and legal obligations and protect the security of our systems and personnel.
- Corporate Restructuring. We may use your Personal Information to evaluate or conduct a merger, divestiture, restructuring, reorganization, dissolution, or other sale or transfer of some or all of our assets, whether as a going concern or as part of bankruptcy, liquidation, or similar proceeding, in which Personal Information held by us is among the assets transferred.

- Dealer Support. We may use your Personal Information to support Dealer operations.
- Consent. We may use your Personal Information for other purposes that you consent to.
We or our business partners may de-identify and/or aggregate Personal Information and use it for any purpose in accordance with applicable law.
In accordance with applicable laws, we may use artificial intelligence, algorithms, automated decision-making technology, and other automated means to process your Personal Information in tools that we make available to you. You may have certain rights related to such automated processing, which may vary depending on your location.
How We Disclose the Personal Information We Collect
We disclose your Personal Information for any purposes consistent with this Notice, our written statements at the point of collection, with your consent, when you direct us to share it with others, in order to conduct business with you, to operate our business or as permitted under applicable law. We may disclose your Personal Information for the purposes above to the following entities and individuals:
- Our family companies. We disclose your Personal Information to our family of companies for purposes consistent with this Notice and/or other business and operational purposes. For instance, with your consent, we may disclose Driving Data (as more fully described in the section above titled Personal Information We Collect) with our affiliate, The American Road Insurance Company (TARIC), who may use such information to provide insurance rates based on the driving habits of your drivers or operators.
- Your account administrator. If you access the Services through an entity with whom we do business—such as a third-party fleet manager—we may disclose Personal Information to that entity’s designated account administrator. This allows them to onboard end-users (e.g., operators/drivers) to the Services (including the Ford Drive App), fulfill service-related functions, and support business and operations (e.g., assigning vehicle to drivers). Your account administrator may use this information in accordance with their own privacy notice.
- Dealers. We may share Personal Information with authorized dealers, to fulfill requests related to the Services—for example, providing a price quote or enabling dealer follow-up with users on behalf of their business. This may include sharing business contact details submitted through the Website or Services. Each dealership is an independent legal entity with its own privacy practices. Ford and its affiliates are not responsible for how dealers handle Personal Information.
- Agents, vendors, consultants, and service providers. We share your Personal Information with third parties who support our Services and business operations. This includes, for example, engineering, procurement, construction, or maintenance (EPCM) providers contracted by Ford Pro to perform installations or other services at customer-designated locations. These third parties are contractually required to keep your information confidential and use it only for the purposes of providing services on our behalf.
- Law enforcement agencies, courts, regulatory agencies, and other government agencies. We may disclose your Personal Information to comply with legal and/or reporting obligations (such as taxing authorities); legal processes (such as court orders, subpoenas); or other legal requirements of any governmental authority, whether in connection with threatened or actual litigation or otherwise, to protect our legal rights or property, to enforce our policies and procedures, to protect the legal rights or property or physical security of others, or for the prevention or detection of crime where such disclosure is lawful.
- Professional advisers. We may disclose your Personal Information to manage risks, obtain professional advice, perform investigations, and exercise or defend against legal claims.
- Third parties and authorized service providers. We may disclose your Personal Information to third parties when instructed by you (or with your consent—for example, to your authorized service providers such as Geo Tab).
- Parties to corporate transactions. As permitted by law, we may disclose your Personal Information as part of a corporate transaction or proceeding such as a merger, financing, acquisition, bankruptcy, dissolution, or at transfer, divestiture, or sale of all or a portion of a business or assets.
Choice and Control of Personal Information
California Residents:
Please review the California Privacy Notice and Notice at Collection to understand your privacy rights and how to exercise them.
Self-Service:
You may receive access to websites and applications, including the Ford Pro Marketplace dashboard, owned or managed by us where you have a profile you can access. For these websites and applications, authorized users may have the ability to modify Personal Information in their profiles. Personal Information changes for users without self-service access should be managed through the fleet administrator.
Cookies and Tracking Technologies:
Cookies may generally be disabled or removed by tools available as part of most commercial browsers, and in some instances blocked in the future by selecting certain settings. Browsers offer different functionalities and options, so a user may need to set them separately. Users should review their browser’s help menu for instructions or visit www.allaboutcookies.org for more information. Please note that if all cookies are disabled, some features of the Website or the Services may not function properly.
Do Not Track Signals and Industry Programs:
Browser settings may allow users to automatically transmit a “Do Not Track” signal to online services visited. Note, however, there is no consensus among industry participants as to what “Do Not Track” means in this context. Like many websites and online services, our services are not designed to respond to “Do Not Track” signals received from browsers. Instead, you can use the range of other tools to control data collection and use, including the cookie controls and advertising controls described below. Users may choose not to receive some interest-based advertising by submitting opt outs. Some of the advertisers and service providers that perform advertising-related services for us may participate in the Digital Advertising Alliance’s (“DAA”) Self-Regulatory Program for Online Behavioral Advertising and/or the Network Advertising Initiative (“NAI”). To learn more about how to exercise certain choices regarding interest-based advertising, including use of cross-device data for serving ads, visit www.aboutads.info/choices/. To learn more about the NAI and opt-out options for their members, see www.networkadvertising.org/choices/. Please be aware that opting out only means that those selected members should no longer deliver certain interest-based advertising but does not mean a user will no longer receive any targeted content and/or ads (e.g., from other ad networks).
Email Communications:
A user may unsubscribe from our marketing email communications by clicking the “unsubscribe” link found in every marketing email we send. If a user opts out of our marketing email communications, we may still send email messages related to the user’s account, the Services, or purchases with us. Unsubscribing from our marketing communications will not affect the level or quality of service we provide.
Third-Party Services and Links
Third-Party Links:
The Website and the Services may contain links to other content, products, services, features, websites, mobile applications, platforms, or properties that Ford does not own or operate (“Other Sites”) even if they look similar to ours. Please be aware that Ford is not responsible for any Other Sites, their content or operation, or the privacy policies or data practices of the parties that offer the Other Sites, even if you access them via our products or services.
Third-Party Services:
Ford Pro is not responsible for third-party applications or services that are governed by a privacy notice other than Ford Pro’s and that may be integrated with or offered through the Services (these are also referred to as “Additional Services” pursuant to the Ford Pro Subscription Services Terms and Services). For instance, Ford Pro is a reseller of certain third-party products and services, some of which may collect or process Personal Information. Ford Pro does not act as a business or controller of Personal Information collected or processed in connection with such third-party products and services, and such products and services are not subject to the provisions of this Notice. Collection and processing of Personal Information (including sensitive Personal Information) in connection with such third-party products and services is subject to the third party’s privacy notice or other relevant agreements applicable to you.
Google reCAPTCHA and Google Maps
Google reCAPTCHA:
Some of the Services incorporate the Google reCAPTCHA tool, which collects hardware and software information, such as device and application data, in order to perform integrity checks and help prevent bots from using the feature. Your use of the reCAPTCHA tool is subject to the Google Privacy Policy and Google Terms of Use.
Google Maps:
Google Maps services and Google Application Programming Interfaces (“APIs”) provide essential functionality for some of the Services (e.g., Ford Pro Drive App), which provide users with certain features like maps, address information, and searches for places or points of interest, and Location (which helps your driver locate where your Ford Pro fleet vehicle is parked). We share the following categories of personal information with Google when you or your drivers use the Google Maps services and through APIs:
- Precise Location: Depending on the Ford Pro Drive App feature or the functionality being used, this could be the precise location of your Ford Pro fleet vehicle, a driver’s mobile device, or another place or point of interest searched for.
- Identifiers: Including device IP address, a unique Maps Software Development Kit (“SDK”) identifier, and a generic Ford Pro identifier.
- Technical Device Information: Information about a device, including device type, operating system version number, SDK version number, screen size, and color theme.
- Maps Performance and Interaction Events Data: Including panning, zooming, and abnormal termination / crash metrics.
- Search Queries: Including the specific terms and phrases users search for within the Ford Pro Drive App.
Google uses cookies and the personal information it collects through use of the Google Maps services and Google APIs to provide the Google Maps services and other services supported by the Google APIs; to troubleshoot and provide technical support; to maintain Google Maps platform security and capacity; to improve Google Maps and other Google APIs, products, and services; and for other purposes described in Google’s Privacy Notice. Your use of Google Maps is also subject to the Google Maps/Google Earth Additional Terms of Service.

- If your Personal Information is reasonably necessary to manage or conduct our business operations, manage our relationship with you, or satisfy another compatible purpose or reasonably necessary purpose for which we collected the Personal Information and provided you notice;
- If your Personal Information is reasonably required to protect or defend our rights or property (which will generally relate to applicable laws that limit actions in a particular case); or
- If we are otherwise required or permitted to keep your Personal Information by applicable laws or regulations.
Where your Personal Information is used for more than one purpose, we may retain it until the purpose requiring the longest retention period no longer applies. For more information about our retention policies, please contact us using the contact details below.
